Booking of office space in open-plan offices

Who can book

You can book an office space in an open-plan office, if you have a relevant affiliation (please see booking conditions below).

Research assistants, bachelor, master, and research year students, as well as guests, can use the touch-down spots in Skou (140A and 240A) or in South and West (spots allocated in the shared offices, see markings on tables in each room or ask your group leader).

To book an office space, you must register as a user in the booking system via this link: Once your user profile is approved, you can book an office space according to the conditions below.

Booking conditions in general

Your user rights expire after a number of years, depending on which job category you belong to (see the table below). In case of extension of your employment, you must re-register in the system to continue booking.
If you want to be sure of keeping the same office space, you can,  in good time before your profile expires, contact the secretariat to extend your user rights. Visiting researchers can only extend their user rights to the extent that vacancies are available.

Booking conditions for absence, eg maternity leave, stay abroad

If you are absent for more than 2 months, you are required to cancel your current booking. You do this by clicking on the link in the confirmation email you received when you booked your office space. Alternatively, you can cancel your booking in the system under My page:  

The booked office space is personal and you cannot transfer it to others

All local users are encouraged to help one another to keep the room tidy and nice. Among other things by cleaning up after yourself and taking turns to empty the dust bin.
